Position: Intake Coordinator – Homecare Division (Bilingual)

Role Overview

The Intake Coordinator position focuses on managing patient and client communications while supporting medical teams and leadership. The role involves handling calls, coordinating services, maintaining accurate records, and ensuring smooth system operations across the homecare workflow.

Key Responsibilities

• Handle incoming calls from patients and clients with a high level of professionalism, ensuring inquiries and requests are addressed through clear and effective communication.
• Provide detailed explanations and guidance regarding Royal Home Health services, policies, and procedures, ensuring patient understanding and confidence.
• Gather, analyze, and document patient needs and expectations, proactively sharing insights with management through reports, emails, or meetings as directed by the Director of Royale Home Health.
• Ensure accuracy and reliability of clinical and non-clinical information by utilizing approved information sources before communicating details to patients.
• Schedule, confirm, reschedule, and coordinate patient appointments with relevant team leaders, ensuring visits are arranged promptly and information is accessible to all stakeholders.
• Manage patient access to care based on urgency, prioritizing safety and timely service delivery.
• Follow up on recommended service plans with stakeholders while explaining package pricing structures and service timelines to patients.
• Provide service contracts, clarify additional information when required, and obtain patient signatures using smart technology platforms.
• Guide patients on accessing digital links and completing electronic contract signatures.
• Collect, verify, organize, and maintain required documentation in line with company standards.
• Update, safeguard, and manage medical records in compliance with organizational policies.
• Receive and document patient feedback, directing concerns or comments to the appropriate departments for action.
• Coordinate closely with business development teams to support new services and promotional initiatives.
• Liaise with transportation teams to ensure timely scheduling of patient visits.
• Work with the billing department regarding payment collection and related coordination.
• Collaborate with call center teams for patient information sharing and call transfers.
• Address patient complaints or concerns professionally and efficiently.

Education Requirements

• Minimum of two years of college-level education preferred.

• Proficiency in written and spoken English and Arabic.
